PERSONAL INFORMATION

Introduction

Industries 3R is committed to protect the confidentiality and security of personal information provided to it by various stakeholders in the course of its daily activities. Interested parties include, but are not limited to, employees, members of the Board of Directors and interns.

This policy sets out Industries 3R's commitment to the protection of personal information and the approach it intends to follow. It is based on five universally recognized steps that serve as ground rules.

Either: the collection, the use of, the communication, the retention and destruction of personal information. These principles are enshrined in federal legislation concerning personal information.

Definition

Personal information is any information that can be used to distinguish, identify, or contact a specific individual, including:

Name, sex, address, race, ethnic origin, identity papers, opinions or beliefs, date of birth, social insurance number or bank details.

This definition does not apply to information of a commercial nature or to information considered to be in the public domain, such as names, job titles, addresses and personal phone or cellular numbers published in the company's phone directories.

Collection

(Determining what personal information is necessary for which purposes)

3R Industries may collect and process various types of personal information in the course of our business, primarily for the purpose of opening employee files. We may need various types of information, including :

  • Identity information, such as a first or last name.
  • Emergency contact details (with their approval), such as name, address, e-mail address and phone number.
  • Bank details for salary deposit, date of birth, social insurance number.
  • Information about communication preferences, as well as related information such as dietary preferences.
  • Information relating to recruitment, such as a curriculum vitae, information on education and professional background, details of professional affiliations and other information relevant to potential recruitment.
  • Identification and other background check data, such as a copy of a driving license, passport or utility bill, proof of beneficial ownership or criminal record.

We collect personal information in person, by phone or by email where appropriate, all personal information provided to Industries 3R must be consented to by the applicant/employee.

Utilization

Industries 3R will not use personal information for purposes other than those for which it was collected, except with the consent of the individual or as required by law.

Industries 3R collects personal information exclusively for recruitment and hiring purposes and uses it throughout the duration of employment with Industries 3R. The collection of information allows us to process job applications, evaluate whether a person meets the requirements of the position and any other need related to the proper processing of payroll and HR. Limits on access to information are managed by the Privacy Officer.

Communication

With your consent, we may share your personal information with one or more of our service providers and our partners, such as the group insurance company, the mutual prevention, the CNESST or the TUAC Local 501 workers' union. We may also disclose it in order to comply with a legal obligation or to enforce our rights. Any request for disclosure should be addressed to the Privacy Officer,

Conservation

Industries 3R will protect personal information in its possession by security safeguards appropriate to the sensitivity of the information.

Respecting the confidentiality of personal information is one of the conditions of employment to which all employees must adhere.

The Privacy Officer implements appropriate measures to protect personal information in their possession (regardless of the form in which it is held) against loss, theft, unauthorized access, disclosure, copying, use, modification, or destruction.

These protection measures may include physical measures (locking doors and filing cabinets); administrative measures (employee training, limiting access and security clearance); and technical measures (passwords, anti-virus software). Employee’s personal information is stored on our secure computer server throughout their years of service with Industries 3R and then for a period of 7 years following the employee's inactivity. A paper copy is filed in the employee's file in a closed filing cabinet and a crossed-out desk.

Complaints

Any person may lodge a complaint alleging non-compliance with the principles set out in this policy.

Industries 3R employees will promptly forward all requests, concerns, or complaints regarding the management of personal information to the person responsible for such information. Following a complaint, the Privacy Officer will contact the complainant to resolve the situation.
